Job Overview
The Executive Assistant Services (EAS) team offers end-to-end administrative and business planning services. The role operates in a hybrid work model, allowing individuals to work remotely with the Senior Leadership Team while having the opportunity for on-site training, networking, and sharing best practices with peers.
Key Responsibilities
Service Delivery:
- Manage the service beneficiary’s inbox and calendar, including drafting responses, scheduling appointments, setting reminders, coordinating travel and expenses.
- Resolve scheduling conflicts efficiently and work closely with colleagues to ensure all meeting and appointment details are updated correctly and timely.
- Track leaves, telecommuting, public holidays based on location, and travel schedules.
Meeting/Event Management:
- Organize meetings, including preparing agendas and taking accurate minutes/actions.
- Coordinate weekly team meetings and follow up to ensure the completion of outstanding actions.
- Pre-book meeting spaces (physical or virtual) and ensure seamless setup.
- If external participants are involved, ensure they are met and greeted appropriately.
- Participate in staff engagement activities and assist with organizing events.
Travel and Expense Management:
- Plan travel schedules, ensuring enough buffer time between flights and meetings.
- Ensure bookings are made through preferred vendors (airlines, hotels, transportation).
- Prepare and organize travel-related documents (visas, requirements, etc.).
- Be available to assist with last-minute travel requests if needed.
- Collect and review travel receipts for compliance with policies.
Administrative Tasks:
- Manage office supplies and ensure availability of corporate items such as business cards, office supplies, gadgets, etc.
- Maintain records and ensure document flow, applying necessary confidentiality and access controls.
- Generate management information system (MIS) reports as needed.
- Create and update presentations according to organizational standards.
- Manage SharePoint organization (document management, access controls, and technical issues).
- Assist with updating the team’s internal website (uploading articles, editing content, etc.).
- Undertake ad-hoc tasks and mini-projects, ensuring they meet target deadlines with regular progress updates to stakeholders.
Vendor Management:
- Follow up on vendor quotes and finalize vendor selection.
- Ensure vendor details are updated in the system and approved.
- Raise eProcurement (vendor requests) and ensure timely payment submission.
Recruitment and Onboarding Support:
- Coordinate with Talent Acquisition (TA) to raise job requisitions, gather resumes, schedule interviews, and track progress.
- Work with hiring managers for screening, updates, and closing job requisitions.
Project/Change Management:
- Assist in managing ongoing processes during change management transitions.
- Provide advice and support to project managers on change management.
- Evaluate new business requirements and propose solutions as needed.
Administrative and Business Leadership:
- Demonstrate exemplary leadership and adhere to the organization’s Code of Conduct.
- Ensure compliance with relevant laws, regulations, and organizational guidelines.
- Manage risks and compliance issues through a cooperative approach.
Other Duties:
- Promote the organization's brand and values within the team.
- Perform any additional duties as assigned by the group, business, or functional teams.
Qualifications
- Education: Bachelor’s Degree or Graduate from a recognized university.
- Experience: 3–7 years of relevant work experience as an Executive Assistant, Personal Secretary, or Administrative Specialist in a global firm.
- Additional Certification: Any secretarial course/certificate is an added advantage.
Job-Specific Technical Skills:
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, etc.).
- Experience with business communication and excellent proficiency in English (both written and spoken).
- Typing and/or shorthand skills with a reasonable typing speed for transcription, with accuracy in drafting documents and meeting minutes.
- Familiarity with facilitating meetings and Microsoft Teams calls.
